Job Description:

IEA Corp., an EverWatch company is in search of an Executive Administrator to join our team in Arlington, VA. The EA will be responsible for the following:

  • Serve as the administrative point of contact for the Director, Counterintelligence & Security (CI&S).

  • Maintain the Director, CI&S daily calendar and ensure operations are accomplished in a timely, professional manner.

  • Arrange for meetings, conferences, and video teleconferencing, to include taking minutes and maintaining invitations attendee contact rosters.

  • Provide correspondence staffing support and oversight to more than 40 Directorate action officers and other staff for all required correspondence actions (e.g., formal letters, memoranda, read-ahead briefing/meeting packages, activity reports, senior leadership reports, senior leadership reports, and travel/training/personnel documents).

  • Tasks may include technical writing/editing, editorial consultation, proofreading, or overall documentation review.

  • Ensures documents are prepared in the appropriate DoD format and are free from grammatical errors.

  • Tracks all Directorate suspenses to ensure timeliness.

  • Maintains and updates a variety of overarching CI & Security Directorate informational binders addressing staff, priorities, quarterly requirements and other documentation required by the DDI(I&S).

  • Represents the Director at a number of fora to include the DDI(I&S) Chief of Staff’ weekly meetings to provide requested data on Directorate activities, accept, disseminate and track tasks for future meetings and provide the Directorate and Division leadership with updated DDI I&S guidance and requirements.

  • Prepares and/or oversees travel arrangements for Director, CI&S.

  • Assists in the preparation or refinement of itineraries, prepares or oversees the preparation of travel orders, secures reservations and tickets, verifies that passports and visas are in order.

  • Upon completion of travel, prepares vouchers, assists in developing necessary trip reports, and briefs on items of special interest and actions taken during customer absence from the office.

  • Serves as administrative point of contact for government staff personnel in a sensitive compartmented information facility (SCIF).

  • Tasks include monitoring access to SCIF, preparing and maintain essential logistic and security requirements for the SCIF, answering phones, maintaining office files and the office filing system (electronic and hardcopy), and tracking action items in the suspense portal.

Experience and Skills:

  • In-depth knowledge of proper security procedures to protect classified information.

  • Expert knowledge of Microsoft Office suite

  • Knowledge of government and best business practices

  • Experience in writing, editing, and professional communication skills.

  • TS/SCI Security Clearance
