Ian, Evan & Alexander Corporation (IEA) is in search of an Executive Administrator to join our team in Arlington, VA.
The EA will be responsible for the following:
Prepares and/or oversees travel arrangements for the Director, HUMINT and staff personnel.
Assists in the preparation or refinement of itineraries, prepares or oversees the preparation of travel orders, secures reservations and tickets, verifies that passports and visas are in order.
Upon completion of travel, prepares vouchers, assists in developing necessary trip reports, and briefs on items of special interest and actions taken during customer absence from the office.
Arranges for official local transportation, reimbursement for expenses incurred, and renewal of parking permits.
Receives, reads, and makes proper disposition of correspondence and other mail received in the office: determines which matters require immediate or personal attention of customer; sorts correspondence by actions, locates, assembles, and attaches any background papers required: retains for own disposition routine inquiries and independently acts on matters which can be disposed within established policy.
Helps to maintain records for control and accountability of classified correspondence and other material received in the office making distribution to appropriate members of staff and Special Access clearances on appropriate personnel.
Ensures all office records are marked, filed, and retained in accordance with the OSD federal records disposition schedule approved by the National Archives and Records Administration.
Arranges for and coordinate with other Intelligence Community organizations and offices across the government in support of meetings, conferences, and video-teleconferencing, to include taking minutes and maintaining invitations attendee contact rosters.
Provide correspondence staffing support to action officers for all required correspondence actions, e.g., formal letters, memoranda, read-ahead briefing/meeting packages, activity reports, senior leadership reports, senior leadership reports, and travel/training/personnel documents.
Tasks may include technical writing/editing, editorial consultation, proofreading, or overall documentation review.
Ensure documents are prepared in the appropriate DoD format.
