Job Description:

IEA Corp is looking for an EA that will support the Government's management of special projects and front office activities including Executive travel in Arlington, VA.

Responsibilities:

  • USD(I)'s Town Hall Meetings: The contractor shall schedule facilities, collate, revise charts/content, and schedule and track all external entities. The contractor shall support the requirements of the most senior level Department political and career executives. This activity requires attention to detail and the ability to work with senior level executives.
  • Outreach Events: The contractor shall plan, organize, and facilitate events for senior level DoD executives. The contractor shall ensure all details and preparation for the events are accomplished. This activity requires experience working with front office and senior level personnel.
  • Awards Program: The contractor shall recommend procedures and track award packages for OUSD(I) and Agencies' supported requirements. The contractor shall edit award packages for compliance with policy.
  • Protocol Events: The contractor shall research required protocol and ensure protocol is addressed for senior political executives. This activity requires knowledge and experience working with front office and senior level executives.
  • Official Representation Funds Program: The contractor shall prepare summaries, track program obligations, and Unliquidated Obligations (ULOs) in support of senior executive requirements.
  • Organizational Assessments: The contractor shall research any required special items, and make recommendations to the government lead on approaches and issues. This activity requires short turn- around times.
  • Organizational Standard Operating Procedures: The contractor shall draft, prepare, maintain, and suggest recommended changes.
  • Internal Controls: The contractor shall support and recommend internal control areas for consideration. The contractor shall provide administrative support for internal USD(I) annual Statement of Assurance (SOA) and the Defense Intelligence Agencies' SOAs.
  • Executive Travel, Premium Travel, Military Air, and Invitational Travel Requirements: The contractor shall prepare all travel documents, both in the Defense Travel System (DTS) and manually (if required) for executive support. Documents include, but are not limited to, passport and visa applications, White House, Agencies’, commands and other related executive travel correspondence. The contractor shall support the government lead on all Executive and Agencies' Executive requirements, including working with foreign and U.S. embassies. This activity requires quick turn around and short timelines, involving local travel to embassies to obtain visa and passport documentation. Requires attention to detail, and knowledge/experience working with executive level personnel.
  • Forms Management Program: The contractor shall support the government lead on responding to requests and researching requirements for customers.
  • Drafting Memoranda of Agreement within OSD or across other Federal Agencies for a variety of topics such as, personnel deployment, functional transfers, etc. The contractor shall participate in planning, addressing requirements, and content recommendations. This activity requires the ability to work with senior level personnel, negotiation, and diplomacy skills.
  • Assigned Training Support Requirements: The contractor shall support the planning, implementing, preparing, and tracking of documentation.
  • The contractor shall participate as required in conferences and meetings in support of the Managers Internal Control Program and other assigned functional support areas. This activity requires participation in the annual conference and administrative support for Agency meetings and internal meetings.
  • Collection Management Program: The contractor shall support the government lead on researching requirements, responding to customers’ requests, and making recommendations on licensing of requirements
  • Initiates, prepares, reviews, revises correspondence for all executive support functions.
  • Assist with unique and ad hoc special management and administrative projects for the Front Office and organizational mission activities.

Experience and Skills:

  • Minimum of Eight (8) years demonstrated executive administrative management supporting senior level department officials including at least four (4) of those years with the Department of Defense (DoD). In addition, the candidate must possess:
  • System Experience with: Microsoft Office Excel, Outlook, PowerPoint, Word.
  • Minimum four (4) years demonstrated experience supporting travel requirements of senior executives including foreign travel. Foreign travel experience includes experience with the requirements of the state department, United States and Foreign embassies, and the United States and foreign governments
  • Bachelor’s Degree or Military Experience preferred
  • Active TS/SCI security clearance
